Live Printing at the Indiana Convention Center: A Booth Playbook

Power orders, dock windows, booth layout and honest throughput numbers for a live printing booth downtown.

A convention center booth is not a hard place to print. It is a hard place to get set up to print. The presses behave the same in Indianapolis as they do in a hotel ballroom — what changes is the dock schedule, the electrical order form, and the fact that everything you forgot has to be bought at retail two blocks away.

This is the playbook we run for an Indiana Convention Center live printing booth, in the order the decisions actually come up. Most of it applies to any large hall, but the downtown Indianapolis specifics — the connected hotels, the Georgia Street spillover, the way race week and Gen Con turn the whole district into one venue — change a few answers.

Order electrical early, and know your dock window

Every heat press wants its own dedicated 20-amp circuit. Not a shared one, not a drop split with your monitor and your lead-scanner charger. A press pulls hard on every cycle, and two of them on one circuit will find the breaker inside the first hour.

Convention halls sell power through exhibitor services, on a form with a deadline. Order by the advance deadline and you pay the advance rate. Order the day you arrive and you pay a premium, wait for a floor electrician, and burn setup time you do not have. Put the electrical order on your calendar the same week you sign the booth contract.

Tell the electrician what you are running. “Two 20-amp, 120-volt dedicated circuits, drops at the back left corner” gets you what you need. “Some power for a printing thing” gets you a single 5-amp drop and a bad afternoon.

Dock time is the other half of the same problem. Marshalling yards and dock windows are assigned, and during a full-house week in Indianapolis they are tight. Our crews plan for a rolling cart load-in rather than a truck-to-booth drop whenever the booth is under 20 by 20 — a DTF rig, presses, tables and blanks move on carts, and a cart does not need a dock slot.

Budget 90 minutes of setup for a single-station booth and about three hours for a three-station build with a hat bar. That is after the material arrives at the booth, not from the moment the truck leaves the yard. If your show opens at 10 a.m. and the hall opens to exhibitors at 8, you are fine for one station and behind schedule for three.

Ship blanks to the advance warehouse when the show offers it. Four hundred shirts is six or seven boxes, and carrying those through a lobby during race week is not a plan.

Design the queue, not the booth

In a 10 by 20 you get roughly this: press and finishing table along the back wall, blanks under skirted tables, and the front eight feet left open as intake. Put the press where the audience can see it. The machine is the attraction, and a booth that visibly makes something pulls traffic off the aisle better than any banner.

The mistake is queuing into the aisle. Show management will ask you to fix it, and you will fix it badly, mid-rush. Instead, run a ticket system: guest picks a design and size, gets a claim number, and comes back in fifteen minutes. Your booth stays walkable, and you get two conversations with each person instead of one.

What a booth can actually produce

A single staffed DTF and heat press station finishes 60–90 pieces per hour. A hat bar with one press runs 30–45 hats per hour. Those are sustained rates with a crew that is not fighting the room.

Now do the show-hours math. A three-day show with 18 exhibit hours does not mean 18 productive hours — the floor is dead for the first hour of each morning and the last hour of each afternoon. Assume 11 to 12 hot hours across three days. One station gets you somewhere near 800 pieces across the show if you never stop. If your goal is 1,500, you need two stations or a pre-printed backup for the overflow.

Order roughly 1.05 to 1.15 blanks per expected piece to cover misprints and size regret. Size curve matters more than total count: L and XL go first at trade shows.

The Indianapolis calendar changes the plan

May compresses everything. Hotels, labor, freight and rental inventory all tighten across race week, and a booth you could have built with two weeks of notice in February needs six weeks in April. Gen Con does the same thing to August, with the added wrinkle that the crowd is enormous, patient about lines, and extremely interested in personalization — patch bars and name drops perform unusually well.

Normal booking lead time is 4 to 8 weeks with artwork locked about 10 business days out. For a May or August date downtown, treat 8 weeks as the floor. What power do I need to order for a live printing booth?
One dedicated 20-amp, 120-volt circuit per heat press, plus a standard drop for the printer and laptop. Order it through exhibitor services by the advance deadline, and specify where in the booth you want the drops. On-site orders cost more and take longer to get connected.

Can you fit a live printing station in a 10 by 10 booth?
Yes, one station fits comfortably with the press at the back and intake at the front. You lose the space for blank storage, so plan a restock trip or a case under the table. Two stations need at least a 10 by 20.

How many shirts can one booth print during a three-day show?
Around 700 to 900 finished pieces from a single staffed station, assuming roughly four productive hours per day. Add a second station if your target is higher, since stretching one crew past its rate just creates a line that people leave.
